DocuSign

What is DocuSign?

DocuSign is a software that allows you to upload and send documents for electronic signature using DocuSign’s eSignature platform. Recipients of your sent documents will be able to quickly access and sign documents electronically. Senders will be able to check a document’s status, send reminders, and review audit trails of each document sent.

How do I set up DocuSign? 

You can request the DocuSign service by opening a ticket with Technology Services.

How do I use Google Hangouts to connect with staff?

You can use Hangouts to make voice calls as well as group messaging.  Use your Fresno State Google account to start a call or a meeting.  Keep in mind that if you’re using Google you can invite up to 150 people to a Google Hangout chat, but only up to 25 can join a video call at once. 

Can I access my shared drives from off campus?

Yes. You can access your shared drives by using the VPN.

What is the process to request additional programs needed to complete my work remotely?  (i.e video editing, captioning, creating visual images)  

Your college/school/division ITL can assist with your requests.  You can start the process by opening a ticket.

What do I need to know if I’m using my personal computer to work remotely?

If you’re personal computer, please do not store any data locally on your computer.  Please use the VPN and save to your shared drives.  if you have additional questions, please contact your ITL. 

What tool can I use to keep track of tasks for employees working remotely?

Trello is a free tool that can be used to keep you on top of tasks.  Click on this link for the one-year subscription.

 

Security

What is a Virtual Private Network or VPN?

A Virtual Private Network (VPN) creates a secure, encrypted connection between a remote Windows or Mac computer and the Fresno State internal network.  It allows access to specific secure internal systems or data that is not accessible directly from the internet.  It also includes access to your shared drives. 

When should I be using the VPN to connect?

You must use Fresno State’s Virtual Private Network (VPN) to access campus resources securely from a remote location.  A VPN connection is an extension of the Fresno State network.            

How do I access my files securely? 

Faculty and staff, working remotely, will need to use the Fresno State Virtual Private Network (VPN) https://vpn.csufresno.edu to securely access their campus workstation, shared folders, local databases or other campus servers.
 
Fresno State's VPN creates a safe and encrypted connection that allows employees to safely send information back and forth from the campus and their remote location. Depending on the speed of your remote location, some activities may be slower than when you are physically on campus. 

How can I keep confidential documents safe when working remotely?

Do not store any work-related documents locally on your personal computer.  Use the Fresno State Virtual  Private Network (VPN) https://vpn.csufresno.edu to securely access and store confidential documents on mapped drives and shared campus folders.  Keep sensitive documents (Level 2) on Fresno State BOX.  Keep other non-sensitive documents in Google Drive.

Do I need to work with my internet provider on making sure my internet is safe from hacking? 

This is not necessary if you are enrolled in 2-Step Verification, DUO.  In addition, make sure your password is unique and sufficiently complex.  Do not share your password with anyone.

What is Avaya One X Communicator?

Avaya One X Communicator software allows you to make and receive calls from your Fresno State phone number and manage calls from your computer. It functions similarly to the display on our Avaya phones. When you make outbound calls, it shows the call coming from a 278-0000 and not your personal phone number.  

How do I request Avaya One X Communicator?

The first thing to do is to open a ticket requesting the Avaya One X Communicator software.  The request will first be sent to your college technician, ITL, so they can install the software.  Once the software is installed, the ITL will notify the telecommunication department who will in turn contact you to finish the installation, provisioning and training. Note, this is all done remotely within a few days of receiving the request.

How do I forward my phone line to my cell phone? 

Instructions on how to transfer your calls from your office phone to another number can be found in the Technology Services Knowledge Base.

How can I forward my voicemail to my email account?

You can start the process by opening a ticket requesting that your voicemail be transferred to your email account, Call Xpress.  Once the request is completed you’ll be able to listen to your voicemail on your computer.

  

Zoom

What's the difference from zoom.us and fresnostate.zoom.us? Which one should I be using? 

When you access Zoom using the fresnostate.zoom.us it allows you to use your Fresno State login credentials (Single Sign On) thereby adding an extra level of security.

What are the recommended settings to use for zoom? (i.e - waiting room, screen sharing, both phone and computer audio) 

 First, log in to fresnostate.zoom.us using your Fresno State username and password.  Once logged in, follow the Zoom Best Practices outlined here.

How do I reduce Zoom fatigue? 

Zoom fatigue is real.  In addition to recommending to not multi-task during a Zoom call, these articles suggest that not every call needs to be a video call, to take a few minutes before each call to focus, review agenda and reduce distractions around you.  Included here are some articles that can help relieve some Zoom fatigue.   Harvard Business Review, BBC and USA Today.
